Gov Pubs Meeting Minutes, 1-27-10

1. Home page re-design. Bottom two categories will be in their own blocks, reversing colors.
2. Special meeting on hearings. Peggy will contact Andrea Sevetson to present changes to Lexis’ Statistical and Academic databases, on Thursday Feb. 11, probably 1-3:00.
3. Jennie is adding 006/007 fields to combined print/electronic records.
4. Pat has been adding but suppressing web item records since Cataloging stopped splitting Gov records, because the display is confusing for patrons. (Suppressed items still perform facetting/limiting and bib location functions. Deb will check with Cataloging about their practices and opinions.
5. Some electronic-only bib records have been suppressed for some reason at some point in time. If the links are completely dead, we will just delete the bib, but should not be suppressing.
6. Linda and Sheila have chosen a label that will work in a Demco labeler. Linda will write up the purchase proposal.
7. Peggy: Systems wants us to report printer problems to them as well as to ITS. Peggy will check with Systems to see if they can remove a report from the queue if they’ve fixed it, so ITS won’t come as well.
Archives may have some National Archives microfilm in their Omer Stewart collection, especially BIA sets.
Archives will take our Rocky Flats documents (except for DOE/NTIS).

Gov Pubs Dept. Meeting Minutes for 1-20-10

I. Web: Proposal for Redesigned A-Z List

Salem presented her mockup of a redesigned Subject Guide A-Z List on the Government Publications Library home page and asked for feedback. It was agreed that the mockup, with A-Z anchors and cross references, would be implemented along with the following changes to the Gov. Pubs. home page:

  • Overarching general subject guide categories, currently listed under Subject Guides/A-Z List of Guides, will be folded into the A-Z List. These subject terms will link to the subject web pages that currently exist.
  • Home page will be updated so that the "Subject Guides" and "Databases" sides have more similar formats. "Using Our Collections" and "Library Catalogs" will be placed in separate rows underneath and will span the entire width of the "Subject Guides" and "Databases" sections.
  • Salem has more detailed notes if anyone would like to see more details on this planned update.
II. Peggy's Announcements

  • Commons Scheduling: There has not been an official announcement about this, but the Desk Management Group has agreed that the Research Desk laptop cart will be moved down to the Commons after the printer currently in the middle of the Commons laptop carts is moved. Libraries staff will no longer be scheduled on the Commons desk starting on February 1.
  • Weekend Desk Scheduling: Jennifer K. has been training Adam White on the Research Desk. Once he is trained, he wants to start staffing the Research Desk once every weekend, so this takes care of some of our scheduling questions regarding weekends.
  • Late-Night Library Presence in Commons: Yet to be determined.

III. Andriot in Ready Reference

Peggy asked if we should put a copy of the Guide to U.S. Government Publications ("Andriot") in Ready Reference on the Research Floor. We decided not to do this.


IV. Related Searches in Encore

Jennie demonstrated how to find cross-referenced bibliographic terms in Chinook when using the Encore interface (the equivalent in Chinook classic would be the "See . . . . . . . . " references).
Directly below the Search box on the Encore results page is an "Explore Related Searches" link with a molecule-like icon next to it. Click on this to see related terms (which appear at the bottom of the web page in list form and tag cloud form).

Minutes 1/13

I have done my best to relay the gist of Helene's holdings training, but if anything seems off please let me know and I will edit it.

Common problems can be found in the Milser Demo record for govpubs and seraq record. Here are some examples:
  • 863 with 1.1, then 2.2, instead of 1.2
  • missing delimiter
  • mismatched 853 and 863
  • empty subfields
  • using two patterns in 863, need more then one 853
  • mouth=month
  • can't put multiple years with commas in 863, if only a few multiple 863s. Can use 866, but the reason to do 863 is that it works better for ILL to have 863s.
  • If you have an 863 you must have an 853
Helene has 15 lists for various problems that she will run monthly until it appears that all these problems are fixed.

The last list was sent 10/8/09, so what will go is any checkin that meets certain criteria (not web, suppressed, etc.) and was created/updated after 10/8/09.

If you want to see holdings in OCLC connection you can click Launch->Local Holdings. LHR=Local holdings record.

Peggy said they had a bimonthly meeting with ITS and the Libraries and it went well. The commons desk changes discussed in yesterday's retreat will be examined for implementation in the DMG meeting next week.

Two searches have been approved as long as there is no dreadful budget news. They are the Romance Languages Bibliographer and Government Publications Librarian.

Don't type multi in as a location, appears that it doesn't get auto fixed for some reason by the bib location updater.

Should we put different item record formats in order by year? Yes, there are 2 exceptions to this due to the Series to discard without listing, but all other titles should be interfiled.

Two items on 006/007 and web items were postponed to discuss at the next TS meeting.
