Gov Pubs Dept Mtg Minutes: 11/12/08 - dvt
Clickable Map - http://ucblibraries.colorado.edu/govpubs/officemap.html – Salem and Jennie demonstrated the new clickable map for finding microform cabinets. Staff offered many suggestions for ways to enhance the usability of the map and the descriptions for each cabinet. Jennie and Salem will work on these in the next few weeks and then test the map on Research Desk staff.
Floppy location - This item was tabled until Peggy returns.
CD-ROMs and Location Codes – Jennie proposed that we separate the CD-ROMs by US, Colorado, Foreign/State, UN and International on the shelves and label the shelves accordingly so that it is easier to find the CD-ROMs. She also suggested that we use currently unused location codes for each set. Everyone agreed. Since this will require changing the public display labels for these codes, it was also agreed to update all of the display labels at the same time. Next week Jennie will bring a list of codes and labels for approval before submitting them to Brice.
Jewel Cases – Linda requested that used jewel cases come to her clean with the inserts and old labels removed.
AskColorado Procedures – As the AskColorado representative for Gov Pubs, Jennie passed on two requests from the AskColorado Director: 1) When replying to an AskColorado email, please change the Subject line to “RE: Your AskColorado Question” so that customers realize this is a response directed to them (and not just a spam). 2) Use a standard introduction in all emails to identify that this message is from us on referral from AskColorado. Jennie will put the text of the intro in the departmental wiki.
Merged Records – Sheila brought up the ongoing email communications on the gov doc listservs regarding GPO starting to supply individual records for different formats and that the print records do not contain 856 tags for PURLs. There was much discussion about procedures and the need for these to be documented on the departmental wiki (including the possibility of constructing our own Superseded List to deal with electronic revisions), but it was pointed out that a decision for the department has not yet been made regardless of GPO practice. This decision will need to be postponed until Peggy returns.
Suppressed Records - Deb announced that work on the large number of suppressed records (in three different categories) has proceeded well. The number of suppressed records with no items and no 9xx notes has been reduced from 29,000+ to 17,362 and we are looking at ways to reduce that further. The number of suppressed records with items attached has been reduced to 169 and Deb asked for help from Leanne, Sheila and Linda to reduce this number. Since work to ready things for Authority Control will need to switch from the suppressed records to the authority records at the end of this week, Deb proposed that any suppressed bibs left with items attached be unsuppressed and the items marked with Status=Missing and Icode1=777 so the bibs will go off for Authority Control. Then, those bibs/items can be dealt with later. Everyone agreed.
