Staff Meeting 11/28

  • There was some discussion about an NBC news report on NRC documents available in libraries around the country. These are documents that were pulled from the NRC website after 9/11. There is now a blog posting about the report.
  • The new GovPubs homepage will be going live probably during exams week. Jennie needs to finish up working on the rotating images.
  • Community Services Workers are doing good work, but they are not showing up. They have been put on the students' punch clock system and need to punch in and out. If Linda is not around, any staff member can sign off on their attendance. Instructions for the punch clock are in Sheila's desk drawer and Linda said she would place instructions on her desk.
  • We discussed the new Senate Catalogue of Graphic Art, which is a Serial Set volume. There was some discussion of it being put in the office as it has color prints in it. There are a couple of other volumes like this in the Serial Set. We will discuss this again at the next meeting. In the meantime, the volume will have a label put on it and be put out with the other Serial Set volumes.
  • The 1890 Decennial Set volumes were discussed. The 1790-1972 Catalog of Census Publications and the Census website has the volumes listed in one particular order. However, the SuDoc call numbers have them in another order. Tim discovered in the CIS Index to Senate Executive Documents that they are in fact in correct SuDoc order as they are on the shelf.
  • CD-ROMs from the UN need to be consistently labeled. The location should be GOVUN followed by the call number.

Government Publications Meeting minutes November 14,2006

1. The R2 report is ready. Read it so we can discuss it next week. It will be discussed in PS dept. heads for the next few weeks. Proposed Collection Development changes are the most relevant to PS. "Documents" shows up 3 times. Cabinet will be determining which of the 75 recommendations we implement.
2. New public computers are coming soon. They will have WordPad, no floppy drives, and Firefox instead of Netscape. All drives will be accessible.
3. GPO Access problem – need to click twice, as we get an error message the first time.
4. Pat will order a new print card, since nobody knows where ours went to.
5. Y1s to Pascal. Used to be withdrawn, and it's labor intensive. Tim will discuss with Martin.
6. Fall break. We will have several students working. They can shift Norbase, and work on short records for Rocky Flats Material. Anything else?
7. The Learning Commons will be looked at in March by CCHE.
8. Training of any sort – make it short and repeatable.
9. Walkie-talkies. Sheila will look at McGuckins, Martha Jo will bring hers to test, and Pat will call the police about use.
10. Jennie and Frank will test the new web site on our Student Assistants.
11. Web serials. We should add an item record and a check-in record with holdings.

Nov. 7 minutes

1. Walkie-talkies. Dan Davidson can't order them, Shelley probably can, but we may need approval from Susan Anthes. Sheila will find the model we want to order and run it by Susan before submitting.

2. Are we doing short records? Yes, some. As a general rule, do them if it's not worth the effort to original-catalog, and there's nothing in OCLC.

3. In-house training. We will start adding a training session to the end of our meetings, every week (for now, and see how it goes). Frank will do the first one, on statistics if we do it next week, on census if we do it after the demographers' session. [Linda is requesting that we postpone our first training until the next week.] Leanne will follow with declassified documents. From the Drop-in sessions we still have at least two topics left: statistics (or census) and foreign/international sources. We had discussed earlier inviting the students who work, or might work the desk on Sundays (Ryan, Carly, perhaps Evan) to these training sessions, and have now done so--Carly won't be able to come this semester.

4. Web item records. We won't add a call number field to item records, and will let the bib number be the default display.

5. Can we do combined records anymore? We can for retrospective titles and for new monographic records. New serials may need separate electronic records--Jina says the Triple I ERM module's not being able to handle multiple ISSNs is the reason, but the connection is not clear. Many non-combined records have multiple ISSNs, and many serial records of all kinds have *no* ISSNs, e.g. where the serials are part of larger series, or where the online version does not have a separate number [and many title changes are not reflected in ISSNs, so the new title does not get a new number--probably because the publisher doesn't ask for one]. Tim will talk to Jina again about this, so we don't have to start creating separate electronic records yet. This does not address the question of whether we can leave URLs in the print versions even when we have to do separate records (Jina is sure that is too confusing for patrons, we tend to think patrons don't know to go out and look for a separate record for electronic).

6. Can we suppress free access as a public depository? Tim will ask that Candy not suppress free URLs.
