Minutes from May 15th meeting

Training
Leanne finished the Congress training by demonstrating some searches on Lexis/Nexis Congressional and CQ Electronic Library.

Posting Meeting Minutes
There has been some confusion about how to post the minutes to the Internal Blog. Jennie will change the log on so that we can only post to the Internal Blog. Log on as:govpubs@colorado.edu and type in password. To post to the external blog, you will need an individual login. Contact Jennie if you are interested.

Report on Student Assistants
Linda reported that we have had 18 applicants (as of the meeting time), but most are hourlies. With $4000 left in the budget, we can hire hourlies. Most will be hired to work until the end of June. So far, we have hired two new students for the whole summer, one of whom does have work study. Linda asked us to come up with tasks for the students to work on in June. Pat mentioned an EU shift. Leanne has an item conversion/shift project involving gift (federal) documents, which will also entail labelling and tattletaping. Other possible projects: shifting materials out of GovRef, item conversion of other collections, a defense manual project, checking Map Shelf items to make sure the location is NOT GovOffice, and sorting MapCase items. Continue to think of projects that don't require much training.

Miscellaneous
MJ reminded us that she will be out of the office until May 30th. Her summer schedule hours may vary. Leanne will be out May 31st-June 20th (back June 21st)

There will not be training sessions during the month of June.

We discussed a few cataloging issues related to GPO records in OCLC which are not yet in Chinook. Questions may be answered in Tim's presentation on MARCIVE loads, etc.

Jennie mentioned that there are problems with web item records in Chinook. It seems that usability studies show students are clicking on the web item, thinking that will take them to the online document and getting frustrated because it doesn't. The WEB OPAC team (can't remember their official name, sorry!) is discussing whether or not to suppress web items. After Jennie demonstrated the problem in Chinook, the meeting adjourned.

Meeting minutes 5/8/06

Leanne conducted a training session on all things Congressional. Since we only managed to cover half of the material, we will finish next week.
1. Reference Dept. is looking into use of IM and has set up a task force before starting a pilot program.
2. For June 6-8 while the 'Train the Trainer Conference' is being held here, we will need to have enough people to staff the desk for those times when attendees might have questions. It was decided to ask Alison to fill in for missing staff.
3. The new version of Chinook will be up soon. Check http://libraries.colorado.edu:2082/. Suggestions for changes are being accepted.
4. Tim mentioned the report about the Per Room Task Force. Since the long bill has been passed, planning for the Commons Area is proceeding. By March 2008, construction in the Per Room will be begin. Before then, both Ref and Per Room need to reduce holdings by 50%.
5. We reviewed the values we use in "I Type" in the item record.
6. Jennie said the purge of the Ref and Index area is complete.
7. There has been a new professor hired for British history. That might cause us to move some of our British documents.
8. No word on the search for the Gov Pubs position.
9. We reviewed the need for wands; 2 new and 1 repair.

Minutes for April 24, 2007

The Lunchtime Training Session featured a presentation by Tim and Kirsten on the IMLS grant awarded to our library to fund a 3 year project directed towards training depository librarians over a five state area to train non-depository librarians on locating and using government resources. A conference entitled, Train the Trainer, will be held in June.

The staff meeting was opened by Tim. He announced that he would be taking some vacation days starting the 29th of April to the 5th of May.

Jennie went over the training schedule for May starting with a reference discussion on May 1st to talk about reference experiences over the past semester. On May 1st Leanne will repeat the presentation she prepared for the drop-in session on “What the Bleep Does Congress Do? On May 15th, Jennie and Leanne will demonstrate the OECD’s DAC online website. On May 22d Tim will discuss various paper indexes that access “secret collections” in the government publications. On 29th Tim will discuss the Marchive/GPO process starting with the shipping list record of documents sent to library and what happens to the document between the times the document is received and when it is ready for use by the library user. There will not be a training session on the 5th of June due to the Train the Trainer conference.

Due to changes that have upgraded the online International Statistics Yearbook available from IMF the current carom order will be reviewed.

Lexis Nexis Academic interface is undergoing significant changes and is scheduled to be available to the public after July 1st. Staff was urged to look over the beta version and use the training module. Any critiques should be sent to Lexis Nexis using the following e-mail address, http://www.lexisnexis.com/academic/listserv/default.asp.

The government publications department has been given permission to use the small display case near the West entrance of Norlin Library. Staff members will be given the opportunity to design and exhibit government documents using special themes.

Denise will be taking care of the plants and checking in bound volumes during the time Irma is gone. Irma will be on vacation from April 17th to the 15th of May.

Sheila will be working all day Wednesday instead of Thursday from now on. She will continue half days from Monday to Tuesday and Thursdays, but will not be working on Fridays.
