Short records for in-house

I promised instructions for creating short records for in-house use items. Here they are:

1). Go to AdminSettings, change your bibliographic template to "govmon Gov Publ Mono No OCLC."
2). Click on "New"
3). Follow the prompts.
Notes: COD8 is non-federal in the 049, COD9 is federal
Don't forget to change the call number fields to 099 for foreign/state/international material (you only need to put it in once for these groups, under call number 099).
4). Create a item record with the right location.
5). Go in and make sure that the 710 field doesn't have a see or see from (see alsos are ok). This is the ONLY field that needs to be verified and all you really need to verify is that there is not a conflict with something already in the system.

Country pages have WHO and Energy links added

In working on the country pages, I've added WHO pages for each country that give information and statistics on the public health situation in the country. Also, I found that the U.S. Dept. of Energy website has "Country Analysis Briefs" for many countries, so I've added those when available.

Meeting minutes 8/17/06

UN Common Database isn't working. Jennie will contact Linda H.

There has been one comment on the JonBenet blog entry.

Decided to make short records for in-house use, non-circulated items, both paper and fiche. Jennie will look at the templates and see if we need a new one for Federal. We will need to verify authors. Use unmarked barcodes so we know to do full cataloging if it circulates.

Discussion of whether to put duplicates in the stacks and discard them when we bind. Decided to leave them in the office in alphabetical order.

We still keep withdrawal stats manually. For many of them we delete the grid boxes or item records, so we can't make a list online.

Many CDs and paper items that are replaced have been processed by changing the current item records. This is a wash as far as statistics, but doesn't show our work, so make sure they are counted.

Older material shouldn't go on the New Book Shelves. We will train the student assistants.

Discussed the superseded list and problems with the discard list. We passed out discard lists for the second search.

Discussed streamlining CD processing. Decided to write call no. on disc and enclosed material, put the call no. in the upper left corner of the jewel case, barcode in lower right corner, and (neatly) write the call no. on a strip label for the spine. We will also start using CD tattletapes on the discs. We will add a colored dot on the spine instead of using colored covers.

Tim will buy a refrigerator, which we will each contribute about $20 for.

The Greater Western Library Alliance (GWLA) has a strategic initiative for the digitization of technical reports. The pilot project will be the NBS mono series, about 200 items, and will include metadata and a search interface.

Fall meetings (starting 8/29) will be on Tuesdays from 11-12.

I left. Someone should comment on whatever was discussed afterwards.

New country pages added

Three new country pages have been added to the Gov Pubs Foreign Information by Country page. They are modeled after the pages Jennie has created for some other countries. The three new countries are Pakistan, Nepal, and Lebanon.
