Minutes for 12/10/08

• The Library is exploring the possibility of using the R.M. Hart gift fund to pay for subscriptions to the online versions of the Monthly Catalog and the Congressional Record.

• Peggy is out the week of 12/15.

• If we want ERM records for titles, run the titles by Peggy, and then we can do the work to submit them. Briefly,

o Go to Find Articles and More and check to make sure there is no ERM record.

o On the University Libraries page, go to Depts, then Collection Development and

click the link for Forms, then Freely Available Resources Request Form.

o Type in Peggy as submitter, fill in Title, URL, the description (it’s very important to use enter keywords that will enhance retrieval), subject headings (use the general subjects on the Find Articles and More page). For the question, Would you like this resource to appear in the subject lists on the Find Articles & More page, click the Yes radio button.

o The request form will go to Sara Halladay who checks for licensing restrictions and then it goes to Candy.

• Finals food: Bring in snacks for students during exam week.
• Hold shelf: Deb has organized it. It will be cleared off at the end of the semester. Remember to date items you place there. Fill out check out slips for the items that will be used in the library.
• British documents: 35 boxes of British Command Papers are coming from the University of New Mexico. We’ll need to decide whether or not to catalog them. They will be stored in McGov.
• Preservation issues:
• Carl needs to store emergency supplies in McGov for leaks in Norbase.
• The Norbase leak may result in the contractor covering more of our stacks in plastic.
• The moldy wall in the workroom is being treated and repainted.
• The Fort Collins trip by Peggy and Salem to look at their Serial Set has been rescheduled for 1/5 or 1/6.
• Cataloging issues:
• Do we want to schedule cataloging issues on our departmental meeting agendas every other week?
• CMS is behind as a result of working on the authority project.
• Discussion of continuing to add PURLS to records for older items. We are not doing it consistently. Peggy will discuss with CMS and tell them our preference would be to do this for older federal bib records. The consensus was to continue to add PURLS while we wait for CMS to review our exemption. Related issue: should we do this as part of the item conversion project?
• LC and now GPO practice is to have separate records for different formats and add a 776 field to link between formats. The title portion of the 776 field is searchable in Chinook, which is less than ideal. It would be better if the search was on the OCLC number. Could we ask the Web Access Committee if the search could be performed on the OCLC. This is a reindexing issue and would cost money, so this is not a likely option at the moment.

o GPO is also adding 530 notes, Also available in ...

• Slip laws: Deb reported that we’ve gone as far as we can.

• Serial Set:

- Download limit has changed from 25 to 75 pages. Also we should be able to send someone the URL for a document and the link should work.

- Michael has started loading Serial Set records, about 25,000 for far. He has about 12 different groups.

• Meckel microfiche scanner: Auraria is interested in supporting the purchase and having it at PASCAL so fiche can be scanned there. Since CIS can’t copyright anything by the headers on their microfiche collections, all the hearings and EBD could be scanned.

• Reminder of cataloging meeting Thursday to look at draft procedures.

• Shipping lists: we are going to make a loader change so that the records will load with a cat level “y” and not be subject to authority checking.

• MARC holdings: We are close to the end of the MARC holdings project. Helene found 144 govpubs records created from Oct through Dec without MARC holdings. Deb created a list and found that the dates coincided with MARCIVE and Colorado loads. 99 were Internet records.
