Meeting Minutes 4-6-2010

1. Binding Current Issues
Jennie raised a concern that our current issues are not getting bound. Linda commented that this isn't happening because we don't have a student to do this; she wants to hire a student in the summer to do binding. It was suggested that we ask the Preservation Department to bind our materials, but we decided not to do this. Jennie concluded by asking that we mention to the group if we see a series whose issues are taking up a lot of shelf space.

2.Gov Docs. Serials: I-Types
Linda mentioned that there are many incorrect i-types in our bib. records and that we need to decide which i-types to use for which types of materials. A lot of fiche records are mislabeled; i-type affects how long a material can be checked out and lost/overdue charges.
  • 1 = Used for bound journals only; serials published more than once a year. Material with this i-type can be requested through Prospector.
  • 6 = Used for all other serials.
Ideas proposed concerning i-types
  • gov-mg: maybe we should have two different codes, one for fiche and one for print
  • Linda will do a global update for all Gov Pubs fiche, changing i-type 1 to i-type 6.
  • Sheila and Linda will decide what to do with Evan's book truck.
3. Kiosk in Gov Pubs
Stephanie and Jennie have proposed to DMG an idea for stationing computers with FAQ info. about book locations and searching in Chinook. One computer would be located outside Gov Pubs window, and one would be outside Norlin Stacks. S. and J. will be designing custom pages for the locations, chat function will be added to these computers, and usage will be tracked.

Gov Pubs Meeting Minutes, 1-27-10

1. Home page re-design. Bottom two categories will be in their own blocks, reversing colors.
2. Special meeting on hearings. Peggy will contact Andrea Sevetson to present changes to Lexis’ Statistical and Academic databases, on Thursday Feb. 11, probably 1-3:00.
3. Jennie is adding 006/007 fields to combined print/electronic records.
4. Pat has been adding but suppressing web item records since Cataloging stopped splitting Gov records, because the display is confusing for patrons. (Suppressed items still perform facetting/limiting and bib location functions. Deb will check with Cataloging about their practices and opinions.
5. Some electronic-only bib records have been suppressed for some reason at some point in time. If the links are completely dead, we will just delete the bib, but should not be suppressing.
6. Linda and Sheila have chosen a label that will work in a Demco labeler. Linda will write up the purchase proposal.
7. Peggy: Systems wants us to report printer problems to them as well as to ITS. Peggy will check with Systems to see if they can remove a report from the queue if they’ve fixed it, so ITS won’t come as well.
Archives may have some National Archives microfilm in their Omer Stewart collection, especially BIA sets.
Archives will take our Rocky Flats documents (except for DOE/NTIS).

Gov Pubs Dept. Mtg. Minutes: 12-09-2009

1. Prior to the meeting a farewell celebration was held for Irma Hille who will be leaving our employ on December 31, 2009.

2. 006 and 007 Tags – Jennie demonstrated that there are 3 ways to limit searches to electronic resources in the Advanced Search of Chinook Classic. Selecting “Online Library Resources” in the Collections box or “Internet Access” in the Location box both limit using the Bib Location Code. However, the small check box labeled “Electronic Version” limits based on the “m” code in the 006 tag. When we discussed merged records we made a decision to add an 856 tag to a Print or Microform bib record if there was no Electronic Resource bib record, but we decided to stop entering 006 and 007 tags. Based on the way that the “Electronic Version” limit works, it was decided that we should continue/start again to add 006 tags (and related 007 tags) to Print and Microform records when we add an 856 tag UNLESS there is an existing Electronic Resource record for the same title.

3. Inhouse Use and Binding returns – The revised flowchart for Inhouse Use Count was approved. Deb will create detailed procedures (including binding returns) and circulate them via email for comment. When approved they will be posted on the wiki.

4. Holdings – Leanne recently encountered the necessity to do MARC holdings for appendices. In the process of discussing this with Helene, Leanne learned that when our holdings were submitted to OCLC they identified 55 gov pubs records with blank 853 and 863 tags, yet the tags had appropriate indicators. We are not sure if these are recent or older records but Helene will delete these records. Leanne also mentioned that there were some instances of dangling subfiled “i” with no data so she cautioned against doing that. Leanne demonstrated the procedure for adding supplements or appendices in Millennium. See Bib Record #35751253 for an example.

5. Poverty Data – Jennie and Leanne had a recent reference question to find the number of people that were 400% above the poverty level by state. After searching the census web site and data ferret, they contacted the Demographic Call Canter (phone number at bottom of pages in census.gov) and received assistance in finding and using the “Table Creator” in the “Microdata Access” link from the census web site.
