Departmental Meeting Minutes 8/31/2010

  • We changed the govpubs e-mail password to something easy to remember and answered three questions.
  • From now on we should insert "gro:initials" in the 948 field when doing retro cataloging. It will be useful for gathering statistics by department (gro) and person.
  • Deb Van Tassel presented a proposed reorganization for the government information cataloging and proceedures wiki. The department approved of the revised format. Deb will work on the changes. We found homes for missing items and suggested additional material. We plan to add sections on: cuttering, microform locations, and non-depository items.
  • Copy numbers: We have discontinued adding copy numbers to material on July 1, 2010, but will not remark older materials as they are retroed. Sheila will continue to put "c.2" on extra periodical issues as an aide de memoire for binding.
  • Deb reminded us that Meri is contributing bib records to OCLC with a new cat date every Monday. Marcive began adding our holdings to OCLC on March 2005.
  • Source OECD has switched to OECD iLibrary. Candy changed the resource record and will ask Serials Solutions (SS) to create a new coverage load. Since each serial has an landing page based on ISSN, all online editions are available from a single URL. This should be an improvement over the previous approach which assigned a unique URL to EACH issue.
  • Peggy is working on getting the ERIC records loaded into Chinook and Prospector. Still needs to resolve some scanning/lending issues for Prospector.
  • Bill Cuthbertson attended the department meeting!

Departmental minutes, 8/17/2010

1) Discussion on print and electronic records adding 049/web item

Cataloging doing: Code as 85642 and no 049/web item for things like Internet Archive/Google Books. Did instead |zview full-text in XXXX for these resources Basically, the 856 is there as an extra.

Windy is going to check on whether we should do going forward. Will continue going forward with 006/007 and web items.

Michael will work on a continuing solution where we can put these alternative URLs into one resource record.

2) Mono cat minutes provided by Deb in meeting, big item is that copy cataloging in OCLC.

3) ERSA minutes forwarded to list by Deb, big item 500 tags used for description based on and latest issues consulted should be converted to 588 series notes, which don't display to public. OCLC is doing that now, but check as you catalog. When looking at 246 tags information, should check out CONSOR not Millennium. Check out CONSOR standard records cheat sheet, Deb can forward again as needed

4) Checkin records checked by Helene once a month.
* Problems and got one for Bulletin of Hardwood Market statistics. Known issue with year/ord. no display, it is being worked on. Going forward, use the correct even though it looks funky. Deb will work on getting them fixed.

* Problem on State of the World's Cities. Currently have monographic records for some pieces and also item records on serial. When each distinct title series rule says catalog as monograph. Don't x-link to the series record doing this. On this title should only have checkin record. Action: Deb and Pat will pull together some instances of this and have a meeting, including Tasannee.

5) Discussion on withdraw procedures. Don't count the Lost and Paid. Asking Peggy about whether she wants all the categories we have currently.

6) Discussion with Windy about what is being sent down from the UN. Expanded to talk about the various other stuff we have.
