Staff meeting May 25, 2010

US Code - send old compilations to PASCAL

CFR - check with Peggy about sending CFR compilations from 1949- to PASCAL, since they are available on Hein Online. Make sure we keep all Title 3s.

AG materials: we strategized about the move and came up with priorities for accomplishing our goal of moving the Ag (As) to Norbase this summer. See Deb's spreadsheet for details. Rebecca counted and we need 282 shelves in Norbase for the A materials. We decided not to worry about superseded As right now.

We identified three parts to the A shift:
• Collapse everything in Norbase up to LC - will require shifting.
• Put As on carts upstairs and move carts down to Norbase - Circ students (Linda will coordinate with Dick)
• Interfiling collections from upstairs and downstairs - GovPubs staff and students will do this.
1. We will not use the top shelves, if possible
2. De-dupe collection
3. Shelf-read
4. Pull out items that truly need preservation - are literally broken
5. We will look for stuff to send to PASCAL such as "strict" bibliographies, catalogs, training manuals and guides

• Time frame: our guesstimate is that it will take two weeks of actual shifting. For each of us, that will mean two hours per day.
1. Pat, Peggy and MJ will not be on the moving schedule. They will help with shelf-reading.
2. Linda will create the move schedules.
3. Based on vacation schedules, our target weeks are: July 19th-July 30th.


Y3s - We will continue Y3 shifting for now.

Minutes 5-18-10

Serial Set Holdings - Leanne checked with Helene to find out why some of our serial set holdings were not displayed in OCLC. Our coding is fine. The reason is that ERSA has not updated our MARC holdings to OCLC since the initial contribution on 12-5-09. Deb added that ERSA (specifically Helene and Candy) will do an update to OCLC soon. Once they see how that goes, they will determine if an update is needed quarterly or if every six months is often enough.

USGS and .DJVU - Jennie showed us that when in USGS, some files are .DJVU (deja vu). If we notice any problems opening these on the public computers, we just need to enable pop ups.

Web Items - Jennie pointed out that our previous decision to remove web item records from a print/microfiche bib record when a separate electronic resource record exists, only applies when both records come from the same vendor. For example, if there is a print bib record from GPO for a hearing with a web item attached and an electronic resource bib record for that hearing from Readex, we should *not* remove the web item from the GPO record. (Note: Deb checked with her students and one person had been doing that, so it should cease now.)

Needs & Offers Lists - Leanne has lots of lists that need second checks so please pull from the bottom of the pile and sign off on which list you take. However, thanks to Jennie and Pat, there is only one list left from Jeffco. The goal is to have all the Jeffco lists completed before the GoPIG meeting in June which will be held at Jeffco. At that time, other libraries will be able to take things from the Jeffco shelves as needed since our needs will have been met.

Gems on the Wiki - Sheila suggested that we create a place on the departmental wiki to log gems in our collection with notes about why they are gems. Jennie will create the space.

Copy Numbers in Item Records - Jina has requested a single response from each department regarding the proposal to eliminate copy numbers in item records. Deb submitted a draft to the department which was edited. Deb will email another draft for approval before submitting to Jina.

World DataBank - Jennie demonstrated some of the new, free, features in World DataBank - WooHoo!
