Deb started the meeting by presenting an update of the Government Publications Stacks Management Plan 1. (The progress of the plan is available in the WIKI under Stacks Management)
1. Approved moves to Norbase from upstairs outlines the call number sections that are to be processed and the number of shelves that will be released by the move.
2. The Agriculture section will be prepared at the end of the semester. The items that have been moved downstairs will be incorporated in the work progression and perhaps some will be moved back upstairs as the project progresses.
3. Serial set volumes are being checked carefully before they are sent to PASCAL for record omissions and lost items and Copy 2’s are being pulled.
4. Progress of the approved moves to PASCAL from upstairs was outlined with number of shelves that had been emptied and those that will be emptied by the move outlined. The Current Industrial Reports and nomination hearings are being held back waiting for the items that are being sent by DPL.
5. Some stems need more investigation before they are sent either to PASCAL or Norbase, such as the Official Summary of Securities Transactions that are available in Lexis Nexis only as abstracts.
6. Approved moves to PASCAL from downstairs completion is outlined. The exceptions are statistical compilations and Colorado information. The Department of Education is also being held back. The oversized historical weather maps need to be added to the sent list.
7. It was decided to hold off sending the Defense Technical Reports to Pascal until a complete analysis of items is completed and decisions made on the different stems.
Peggy reported that permission has been given to form a search committee for the government publications position that will emphasize outreach. The committee has been formed and the first meeting will be scheduled as soon as John gives permission to proceed. She also reported a multistate government publications virtual conference is being planned. The conference will be take place in August for five days. Topics are being collected. The TRAIL (technical reports archive and image library) and HathiTrust projects are continuing, but TRAIL problems with series and subseries need to be worked out. The 1909 Checklist of United States Public Documents 1789-1909 was used recently to answer a reference question. We have three copies(GP 3.2:C41/2), one in the back office, one in the office collection, and one in Reference. The 1909 Checklist, Correlation Index kept in the office collection(Z 1223Z7P64) correlates serial numbers with classification numbers.
The DMG committee is working on several suggestions including opening up the classroom In the Commons more easily and having an ATM available.
The new Lexis-Nexis Academic interface is up and running thanks to the overwhelming support of the library staff.
The L/N Statistical data sets will be ready for access next week. Some extra money has surfaced and purchasing European Space Agency access will be given serious consideration. Pat indicated the Records of States is missing the last part and perhaps could also be considered.
A committee is being formed to look into the possibility of integrating some of the office maps back into the stacks, especially the national park EIS and management draft and final reports attachments. Since the selection of what goes into the map collection is arbitrary with map and other items located in both the stacks and in the map collection, consideration will be given to reducing the office maps collection and returning items to the stacks, where they can also be given Pascal consideration.
The buzzer will be put on the small table near the door, but inside the office for those patrons who seek out help directly from the staff. The people staffing the Research Desk perhaps need to be reminded that a courtesy phone call is needed if the patron is being sent up up to government publications for help.
