Staff Meeting, 8/7/07

1) Current Congressional material on new books shelves:

Sheila is finding that she often has to make corrections to congressional documents soon after they arrive and she has trouble locating them on the new book shelf. She asked whether it would be possible to exclude the congressional material from the new books shelves. Tim said he was reluctant to have the hearings removed from the new books shelves. Although they are not the pretty documents that draw patron’s attention, there is interest in them. It was suggested that we could take the books off the new books shelves sooner, after one week. This would get them to their proper place on the shelf sooner and should make it a bit easier on Sheila. It was also suggested that Sheila have a minion do the pulling she needed for corrections.

2) Library Guides and Tutorials Database :

Jennie demonstrated the new database for library guides and tutorials. We have about 160 guides on the Government Publications pages that need to be entered into the database. Jennie had divided the titles into eight groups of 24 and passed them out to the full time staff members who will be responsible for inputting into the database. http://libnet.colorado.edu/rl/researchguides/submitguideinput.htm There are two types of guides: subject guides and country guides. We should all use a standard phrase to start the Description: “This guide, from the Government Publications Library, provides links to…” ALL the guides we will be doing are Research Guides. Everyone should let Jennie or Darci know if a guide needs to be updated. For the country guides, after the name of the country, add “county guide.” There is a list of academic departments and libraries that can be used to select up to five, including Government Publications. Keywords can be stolen from the source code for each of the web pages. Let Jennie or Darci know if you find a page without keywords. Related Guides can also be selected. Let Jennie or Darci know if a related guide isn’t in the database yet. For country guides, the related guide can be the Foreign Country Guide. However, for Iraq, you might also want to list Military and/or War on Terrorism. Jennie should be listed as Author. The Contact should be govpubs@colorado.edu and the phone number 303-492-8834. It should take about five minutes to do each guide. If you notice a mistake after you have submitted a guide, tell Jennie or Darci and they can fix it.

3) Statistics:

What is being done with statistics with Martin being gone? Martin compiled statistics through mid-June. Tim will need the statistics for the annual report due in September. He will talk with appropriate staff when the time comes.

4) Discard Lists:

Linda passed out the normal lists plus eight lists for University of Wyoming Hearings. She explained some of the problems to watch out for with the Wyoming lists. Primarily, everyone should ignore the orange marking.

5) NASA microfiche:

Denise has been finding a significant number of NASA reports that never received GPO cataloging. Tim will check with GPO to see if they would like to know what we have found and whether they want our records.

6) Recently used documents:

Leanne reminded everyone to look on the To Be Cataloged Shelf, when looking for a recently used document. She told about a document needed by ILL that she searched for unsuccessfully that turned out to be on the To Be Cataloged Shelf.

7) ICC Collection Hearings

Leanne announced that Paul had finished processing all of the hearings from the ICC Library via DU.

8) CIS Records:

When there is a choice between an GPO record and a CIS record, use the GPO record. In these cases, the CIS record can be deleted.

9) Marcive Loads:

Sheila pointed out that some shipping list records are not getting overlaid by the full bib records. Tim will investigate.
