Meeting minutes Jan. 16, 2008
The department retreat will be on Friday, Feb. 15 in the Engineering Conference Room from 8:30 to 4:30. The discussion will cover the longterm (5 year) view, and which procedures and positions can be eliminated or restructured. There will be a recap of the Research Desk meeting Peggy and Jennie will have attended. Peggy will arrange box lunches. Jennie will bring the laptop for Virtual Reference. We may close down the desk for the day.
No one who wants a calendar hasn't gotten one.
Linda will create a list of the student (Gateway) computers; Peggy will ask Systems where they are in the replacement cycle.
Peggy showed Susan Anthes the post-shift 1000/UN rooms. The mat we used for the elevator may prove useful in Science, too, or be removed. It is possible we could get a harder, bevelled, folding chair mat that would work better (although it may still be too wide).
The official reference schedule will be in use starting Jan. 22. Jennie and Peggy filled in their weekday hours, and the rest of us will follow suit; Leanne has signed up for the most weekend hours, so the rest of us have 3-4 days left to sign up for.
Sheila would like to avoid item records for print slip documents (they would, however, be created for circulated documents). Linda and Sheila will figure out the sequence of shipping-list records / URL-web item addition / fiche item record addition. They will also propose a request to Cataloging for a dedicated note field (saying something like, "Available both in print and online at: [URL]," possibly followed by a message to see GovPubs staff for assistance), and a request to MARCive to eliminate the print item records and insert the note in the shipping list bib record. Peggy, Jennie and Linda/Sheila will meet with Cataloging to discuss the note. Peggy will request the item record/note changes from [Jim Nowell] at MARCive.
Peggy will also ask MARCive to eliminate barcodes in item records for microfiche.
Peggy would like to handle the rest of the Adams State deacquisitions by sending a "SWAT" team in for a day or two, probably consisting of librarians both from CU and other institutions (including Colorado College's McKinley Sielaff). The Cumulative Title set ("green books") and Andriot would be taken along on the mission, and Jennie would have created a list of 1976- documents we're missing. It is not clear whether the collection is primarily agricultural, and if so, whether they have already sent us all the A lists, or how much historical (pre-1976) material they have, or how they have been keeping track of/finding what they have. Peggy will ask Adams State if they have a shelf list they can send us first [update: they apparently do not have any inventory tool].
3M says there have been problems reported with the tattletape on DVDs throwing them out of balance. They've supplied a template for centering the tape more accurately. For now we will stop taping CD/DVDs except for ones we've paid for.
