Department Meeting minutes 7/22/09

Announcements:
  1. ARL has commissioned a study on the future of the FDLP program with respect to regionals. Gov pubs people from CU, DU, CSU and DPL will be interviewed.
  2. Food policy in the library: Pat Morris and Peggy drafted an enforceable policy. There will be designated areas in the library where eating is ok - NOT in the stacks. Covered drinks will be ok everywhere. The policy will go to the PSDH. When it is approved, signs will be posted. The key to the policy is to give patrons options.
  3. Peggy and Jennie had a successful regionaling experience at DPL. Materials in the Es and EPs will be coming.
  4. Jennie showed us the Serials Titles Not Requiring Listing page which is a resource for depository libraries. http://ucblibraries.colorado.edu/govpubs/de/seriestitles.htm These are titles that don't follow the normal Needs and Offers procedures. Libraries just click on the link to see CU holdings.
  5. The following names have been approved: Research Services (2d floor) and Norlin Commons (1st floor).
  6. Reminder of Encore rollout on Thursday, July 23rd at 10am in CBIS.
  7. Jennie updated us on the shifting progress. Shifting continues Thursday at 1pm in the state docs. For questions about state document call numbers, we are directed to check the department wiki under Students-->Training-->Foreign,State and International Call Numbers.

    Agenda items
    ERSA meeting. Deb reported.
    1. The combining formats agenda was targeted at serials catalogers. Paul requested catalogers keep track of how many records are derived (serials) for electronic format.
    2. Classed together/classed separate issue does not apply to GovPubs. Helene had a concern based on shelf-ready books. Paul will bring this to the bibliographers.
    3. OCLC is not putting in uniform titles (130s) with (Online) for serials.
    4. PCC is providing vendor-neutral records for ebook monographs. [See Jina's email 7/24/09]
    5. The 234 in ICode 1 related to the Shelf-to-Life project. The 234 either means an item was sent to BCR or it was considered and rejected by Preservation. If it
    goes to BCR, it gets checked out. Materials rejected have an item note, "BCR
    rejected" All our Minerals Yearbooks have a 234 ICode1. Deb noted that
    ICode1s are used for special projects and if we need one, we can contact Rani.

    Merged Records
    Before we began the monograph merged record discussion, we reviewed some procedures.
    1. Old records protected by an "x". If we get an new record in Millenium for a title that has an existing record with an "x" after the OCLC number, we should review both and transfer any important information to the new record. Basically, evaluate the new bib in general and use your judgment. Look at 247s carefully. Serials Acquisitions is working on taking out 247s. Again, use your judgment.
    2. Don't remove an 856 from any new print records. Don't add any fields (006,007,530) that would make it a "merged record".
    3. Remember, we only need one web item or checkin record per title.
    4. For records on OCLC, remember to add SuDoc numbers as a permanent edit.
    5. See the departmental wiki, for decisions made regarding monographs and merged records.
