Minutes for Dept Mtg 6-24-09
Announcements:
1. Under the new Student Budget, the Gov Pubs allocation is less than we received last year. However, our proposal for an addition to the Student Budget to continue the Item Conversion Project was approved for the 6 months period (June-December 2009) so we should be ok. In addition, Peggy will ask the Alliance for additional funds for the ICP upon the suggestion of Auraria Director, Mary Summerville.
2. Peggy has received a price for the Lexis-Nexis Hearings which can be paid for over three years. She has a meeting with Susan and Yem tomorrow. She hopes to get gift monies to pay for the hearings so that we can also begin to purchase electronic FBIS. It is possible that other bibliographers would contribute to the purchase of FBIS as well.
3. One of the reasons to concentrate on purchase of the electronic Hearings (and Congressional Record) is that these are large chunks that can be moved to Pascal. If we can continue to get funds for the Item Conversion Project and funds for the electronic resources, then we can clear out Room M350 over the next two years so that it will be available for the next phase of renovation. Deb will track progress on the ICP on the wiki to show our efforts. (Two space plans have located Gov Pubs in the basement which we hope to avoid.)
4. Peggy, Linda and Leanne need to get together regarding the climatilogical data.
5. According to Kathryn Irwin, lawyer for the Office of Discrimination & Harassment, the University is perfectly within their right to omit names from the current Salary Roster (as was done for the current year). For customers who complain about this, we need to have a page directing them to file a Colroado Open Records Act request. Peggy will contact Alice at the President's office to obtain the information we need.
6. It is almost the end of the 08-09 fiscal year. Please update statistics on wiki as needed.
7. Monday is our basement shift day. Jennie is coordinating the shift. Peggy will purchase pizza for lunch and will send out an email that our window will be closed on Monday afternoon.

1. Bad call numbers in Pascal items - Pascal can retrieve items without the call number so, as long as all call numbers are in a record and searchable, we don't need to worry about changing the call numbers on the pieces themselves.
2. USGS Copy 2s - Jennie reminded everyone that the Earth Science Library is interested in copy 2s of the Interior documents. Deb shared that Brittany emailed that they really just need copy 2s of the USGS Bulleins (I 19.3) and the Professional Papers (I 19.16). She stated, "Other items are good, too, but we don't have a ton of room. The USGS Open File Reports (I 19.76) come mostly on CD now, which we usually get from Law."
3. ITYPE "1" for Journal - The Itype code of "1" for "journal" is only used in Item Records for serials that are published more than once a year - and only for print. The ITYPE for microfiche should always be "6" for "document" and the ITYPE for electronic resources should always be "42" for web. Linda had fixed all the microfiche not too long ago, but now there are more with "1" so please check the Item Record templates you use.
4. Sheila has found all the CFR records and, since it is an active serial, has moved item and checkin records to separate bib records. She has put a new checkin record in for print CFR titles.
5. Merged Records for Monographs - We discussed issues relating to records that already exist in Millennium an updated the wiki on this topic. Due to time and the imminent arrival of Encore, we post-poned the discussion of New Records until the July 22nd meeting. The issue of what is a valid URL will also take place at another meeting.
